ROYAL RIVER GRILLHOUSE EVENT AGREEMENT


1) This event agreement applies to events with a dollar estimate that does not exceed $4000 (Four thousand dollars).

2) Forty five days prior to your event, a general outline of items that you may need for your event such as food and beverage, set-up style, linens or audio/visual support will be discussed and listed. An estimated dollar value will be determined based on this outline. A deposit of $200.00 to reserve the space you have chosen for your event will be due at the conclusion of this meeting or when you decide you would like to reserve any space for your event. This deposit will be applied to any outstanding balance due on the day of the event. The tenant will incur minimum dollar expenditures when renting any space privately. The General Manager will discuss this with the client prior to accepting a deposit.


3) Fourteen days prior to your event, notify us of any changes in menu, guest count, room set-up or any special needs not discussed in any previous meeting.


4) If a tenant cancels a confirmed date, said tenant will forfeit their deposit. All cancellations must be in writing. The tenant will be charged for perishable or prepared foods plus any labor costs incurred for all events which are cancelled by the tenant within 7 days of the confirmed and contracted event date.


5) Payment in full, less deposit, must be made no later than seven days prior to the confirmed rental date. A credit card may be used to secure this payment in advance if there is no other payment form available seven days prior to the date of the event. In some instances, final balance due payment may be made at the conclusion of the event with the approval of the General Manager.


6) All parties that are having food and or beverage service must provide a final, guaranteed number of guests that will be attending the event no later than 7 days prior to the event date. This number is the minimum amount, per person, that will be charged for the event unless that amount is less than any minimum agreed to prior to the event.


7) No food or beverage items are allowed to be brought in or out of these facilities without the approval of the General Manager. All food and beverage items are to be dispensed and served by the staff of the Royal River Grillhouse only. Positively no alcoholic beverages may enter or leave the building at any time.* The exception to this rule would be pre-purchased opened bottled wine that may be requested for take – out. There are strict State of Maine guidelines we must adhere to in order to prepare to accommodate this request.


8) Use of the facilities includes the assigned restrooms and entrances. All other areas not assigned to your event are to be considered either public or off limits.


9) Damages to the facilities, if it is determined that said damages were caused by any malicious or premeditated actions of the tenant, shall be charged and collected from the party or parties who have signed this agreement as tenant.


10) All prices on menus and all miscellaneous fees are subject to change 60 days prior to a prescheduled event.


11) Day session events may commence at 11:30 a.m. with one hour allowed for set-up that may be required and performed by the tenant. Any additional time required will be charged to the client at a rate of $75.00 per hour. Daytime events must be vacated by 3:30 p.m. unless otherwise negotiated with the General Manager. Evening events are to commence beginning at 5:30 p.m. and may run until 12:30 a.m., contingent on a prior agreement related to the start and end times negotiated between the renting party (tenant) and the General Manager.


12) Preliminary booking data sheets are designed to assist those parties interested in planning an event and are not contractual in any way, shape or form.


13) By signing the agreement you attest that you have personally read and agree with all the guidelines contained in this event agreement contract and agree to abide by them. The General Manager’s signature is required.
